1. Scope and precedence
This Supplement describes how CarbonIsle, LLC (“CarbonIsle,” “we,” “us”) collects, uses, stores, and protects data obtained from QuickBooks Online (“QuickBooks Data”) through our financial analysis application (the “Application”).
It supplements our general Privacy Policy, which governs visitors to carbonisle.com. Where the two differ with respect to QuickBooks Data, this Supplement controls. In particular, the provisions of the general Privacy Policy concerning marketing communications, promotional offers, third-party offers, and sharing with partners for statistical analysis or mailing purposes do not apply to QuickBooks Data.
2. What the Application is
The Application is a private, single-tenant financial analysis tool. It is not offered to the public and is not available for general sign-up. It is operated by CarbonIsle on behalf of a single client business to support that business’s own internal financial analysis and planning. There are no end-user accounts sold, marketed, or offered to third parties.
3. What QuickBooks Data we access
The Application requests access to accounting data belonging to the connecting business, which may include:
- General ledger detail and journal entries
- Profit and loss, balance sheet, and cash flow reports
- Chart of accounts
- Invoices, sales receipts, bills, and payments
- Customer and vendor records associated with those transactions
- Fixed asset and loan account balances
QuickBooks Data may include personally identifiable information belonging to the connecting business’s customers, vendors, and employees, because such information appears in accounting records. We treat all of it as confidential.
4. Scope of access
The Application both reads from and writes to the connected company file. Writes are limited to the following, and are performed only at the direction of the connecting business:
- Creating and updating invoices from source documents supplied by the business, its brokers, and its drivers
- Attaching supporting documents and images, such as bills of lading, to those invoices for record-keeping
Every write is queued for human review and approval before it is committed to QuickBooks Online. The Application does not post invoices, payments, or journal entries without a person approving them. It does not modify the chart of accounts, alter historical transactions it did not create, or remove records.
All other accounting data is accessed on a read-only basis for reporting and analysis.
5. How we use QuickBooks Data
We use QuickBooks Data solely to produce financial analysis, reports, and reconciliations for the connecting business, at that business’s direction. Specifically:
- Reconciling revenue, cash flow, and expenses across independent sources
- Classifying transactions for internal reporting
- Producing financial statements, projections, and dashboards for the business owner
- Preparing invoices from broker documents and driver-supplied bills of lading, for human review and approval
- Tracking the status of outstanding loads against delivery and telematics records
We do not use QuickBooks Data for any other purpose. We do not use it to train machine learning models, to build products for other customers, or to generate aggregate or benchmark datasets.
6. What we do not do
We do not:
- Sell, rent, lease, or license QuickBooks Data to anyone
- Share QuickBooks Data with advertisers, data brokers, or marketing partners
- Use QuickBooks Data to send marketing or promotional communications
- Disclose QuickBooks Data to any third party except as stated in Section 8
- Combine QuickBooks Data with data from other clients
7. Storage and security
QuickBooks Data is stored on private, access-controlled infrastructure operated by CarbonIsle on Amazon Web Services. Our security measures include:
- Transmission over TLS-encrypted connections
- Storage in a private database instance that is not publicly reachable
- Role-separated database access, in which the user-facing application holds read-only permissions and cannot reach raw ingested records
- Credentials and access tokens held outside application source code and outside version control
- Raw accounting exports stored outside the application code repository, in permission-restricted storage
- QuickBooks Data is stored in Amazon RDS with storage encryption enabled at rest, and encryption keys are managed through AWS KMS.
8. Who can access QuickBooks Data
Access is limited to (a) the owner and authorized personnel of the connecting business, and (b) CarbonIsle personnel who require access to operate and support the Application. We do not grant access to any other party.
We use the following infrastructure subprocessors, which store or transmit data but do not access it for their own purposes:
- Amazon Web Services: hosting and database infrastructure
- Anthropic, PBC: interpretation of documents and images, and analysis of accounting records, where the Application or an authorized user submits that content to a language or vision model
Where the Application uses artificial intelligence services, it does so in two ways: to read inbound source documents such as broker confirmations and bills of lading, and to assist authorized users in reviewing and analyzing accounting records – including through tool integrations that let an assistant query data on an authorized user’s behalf. In both cases the output is presented to a person for review; no AI service is permitted to commit a record to QuickBooks Online.
We use AI providers only under terms that prohibit the provider from training its models on data we submit. We do not submit QuickBooks Data to consumer AI services that lack such terms.
We may disclose QuickBooks Data if required by law, legal process, or a valid governmental request. Where permitted by law, we will notify the connecting business before doing so.
9. Retention and deletion
We retain QuickBooks Data for as long as the connection remains active and the engagement with the connecting business continues.
Upon disconnection of the Application from QuickBooks Online, or upon written request from the connecting business, we will remove stored QuickBooks Data from our active systems within 30 days, and from routine encrypted backups within one year.
The connecting business may revoke the Application’s access at any time from within QuickBooks Online, or by contacting us at the address below.
10. Your rights
The connecting business owns its QuickBooks Data. On request, we will provide a copy of the data we hold, correct inaccuracies in our stored copy, or remove it, subject to any legal retention obligation.
11. Security incidents
If we become aware of a security incident affecting QuickBooks Data, we will notify the connecting business without undue delay and describe what occurred, what data was involved, and what steps we have taken.
12. Children
The Application is a business tool and is not directed to, or intended for use by, anyone under the age of eighteen.
13. Changes to this Supplement
We may update this Supplement. When changes are material, we will notify the connecting business directly rather than relying on posting alone. The effective date above reflects the most recent revision.
